Run Report – Schedule

Schedule reports allow you to view and print reports about your installation's schedules. These reports aid management in overseeing and analyzing the set of schedules in place, broken down by assets, location, or time period.

Your security rights determine whether you can run schedule reports and which properties you can run the reports on. If you do not have the required security rights, contact your system administrator.

To run Schedule reports:

  1. Access the Schedule module by clicking the Schedule link at the top of the page.

  2. Select the Run Report tab.

  3. In the Select a report field, select the report you want to run.

  4. Specify report criteria.

  5. Click OK to run the report.

The following Schedule reports are available:

ClosedSchedule Listing

The Schedule Listing report provides information about basic schedule details, including frequency and recurrence pattern, procedures, location, work type, statement of work, estimated hours, as well as actual costs that are associated with each work order.

Report Criteria

To refine your results, specify any of the following criteria. If no criteria are specified, the report will be run for all values.

  • Region – Select a value to run the report for a particular region. Selecting a region limits the property values that can be selected to the properties within the specified region.
  • Property – Select a value to run the report for a particular property. If a region was selected, only properties within that region are displayed.
  • Location – Select a location using any of the following fields. Location is highly configurable. Your system may display one or more of the following criteria.
  • Space/Floor – Select a value to run the report for schedules associated with a particular space or floor. Some systems group spaces and floors together and some use separate space and floor values.
  • Zone – Select a value to run the report for schedules associated with a particular zone within the property.
  • Tower/Wing – Select a value to run the report for schedules associated with a particular tower or wing within the property.
  • Floor – Select a value to run the report for schedules associated with a particular floor within the property.
  • Space – Select a value to run the report for schedules associated with a particular space within the property. You cannot select a space until after you select a floor.
  • Sub-Space – Select a value to run the report for schedules associated with a particular space or floor. Some systems group spaces and floors together and some use separate space and floor values.
  • Space/Floor – If a property is selected, the Region field is replaced by the Space/Floor field. Select a value to run the report for a particular space or floor.
  • Asset Class – Select a value to run the report for schedules that have an asset of a particular asset class associated with them.
  • Asset – Click the Select link to run the report for schedules that have a particular asset associated with them.
  • Type – Select a value to run the report for a specific type of work request. If a type is selected, the SubType drop-down menu appears.
  • SubType – Select a value to run the report for a specific subType of work request. The subType drop-down menu only appears after a type is selected. You are not required to select a subType.
  • Schedule Status – Select a value to run the report for schedules of a particular status. You can select Active schedules only (either generated, not generated, or all), Inactive schedules only, or both Active and Inactive schedules.
  • Assigned To – Select a value to run the report for schedules that are assigned to a particular user.
  • Include Expired – Select No to exclude expired schedules from the report. Expired schedules are those whose end date is in the past and are not set to Auto-Schedule additional work orders.
  • Report Type – Select a report type: Excel (Microsoft Excel .xls file), HTML (displayed in a browser window) or CSV (comma separated variables).
  • Include Asset Details – Select Yes to include additional columns of information about the assets in the report.

Report Output

The generated report contains one row for each schedule. The results include:

  • Schedule Name – the name of the schedule
  • Schedule ID – the ID number given to the schedule when it was created
  • Recurs – the recurrence pattern of the schedule (for example, monthly, annually)
  • Status – the status of the schedule indicating whether it is active or inactive and whether it has been generated
  • Inactivated By – if inactive schedules are included in the report, this column displays the name of the user who inactivated the schedule
  • Inactivate Date – if inactive schedules are included in the report, this column displays the date on which the schedule was inactivated
  • Frequency – further defines the recurrence pattern by indicating the number of intervals; for example, a monthly schedule with a frequency of 3 occurs every three months
  • Procedure – the name of the procedure associated with the schedule
  • Start Date – the original date on which the schedule takes effect
  • End Date – the original end date of the schedule; schedules may be extended past this date if the Auto-Schedule option is selected
  • Start Time – the time when the work should begin
  • End Time – the time when the work should be completed by
  • Property – the property where the work is done
  • Location – one or more columns indicating the Tower/Wing, Floor, Space, and SubSpace within the property where the work was done.
  • Type – the type of work to be done
  • SubType – a further definition of the type of the work to be done
  • Priority – the priority of the work (for example, Critical, High, Low)
  • Created By – the name of the user that created the schedule
  • Assigned To – the name of the user the work is assigned to
  • Asset Class – the class of the associated asset; included only if Include Asset Details = Yes
  • Asset Name – the name of the asset the work is performed upon
  • Asset Number – the ID number assigned to the asset; included only if Include Asset Details = Yes
  • Asset Details – Additional information about the asset; included only if Include Asset Details = Yes
  • Statement of Work – information about the work to be done
  • Est Hours – the estimated number of hours the work should take
  • Billable – Yes if the work will be billed to a third party
  • Labor Hours – the actual number of labor hours added to each work order generated from the schedule
  • Labor – the default actual labor cost added to each work order generated from the schedule
  • Materials – the default actual materials cost added to each work order generated from the schedule
  • Other Costs – the default actual other costs added to each work order generated from the schedule
  • Total Amount – the sum of the labor, materials, and other costs

ClosedScheduled Work By Asset

The Scheduled Work By Asset report lists all procedures that are scheduled to be performed on an asset each month, over the course of a year.

Report Criteria

  • Schedule Year – Enter a value to run the report for schedules that occur in the specified year. Select a month from the drop-down menu to return information for only the selected month within the specified year.
  • Procedure Type – Select a value to run the report for schedules that have procedures of the specified type associated with them.
  • Report Type – Select a report type: Excel (Microsoft Excel .xls file), HTML (displayed in a browser window) or CSV (comma separated variables).
  • Show Procedure Type – Select this check box to display only the procedure type in the report, not the procedure name.
  • Advanced Search Criteria – Click this link to display list boxes that allow you to select one or more Procedure Types or Asset Ranks. Either SHIFT-Select multiple contiguous values, or CTRL-Select multiple individual values.

Report Output

The generated report contains one row for each asset that has work scheduled during the specified time frame. The results include:

  • Asset – the name of the asset the work is performed on
  • Property – the property where the work is done
  • Location – one or more columns indicating the Tower/Wing, Floor, Space, and SubSpace within the property where the work was done.
  • Room/Area – the name of the room or area where the asset is located
  • Asset Number – the ID number assigned to the asset
  • Jan – Feb – one column for each month of the year, containing a list of the procedures that will be performed on the asset during that month

ClosedScheduled Work By Space

The Scheduled Work By Space report lists all of the schedules to be performed at each space over the course of a year, broken down by month.

Report Criteria

To refine your results, specify any of the following criteria. If no criteria are specified, the report will be run for all values.

  • Region – Select a value to run the report for a particular region. Selecting a region limits the property values that can be selected to the properties within the specified region.
  • Property – Select a value to run the report for a particular property. If a region was selected, only properties within that region are displayed.
  • Location – Select a location using any of the following fields. Location is highly configurable. Your system may display one or more of the following criteria.
  • Space/Floor – Select a value to run the report for schedules associated with a particular space or floor. Some systems group spaces and floors together and some use separate space and floor values.

  • Show Assets – Select No to include only schedules that do not have assets associated with them in the report. Select Yes to include all schedules (those with assets and those without assets) in the report.
  • Type – Select a value to run the report for a specific type of work request. If a type is selected, the SubType drop-down menu appears.
  • SubType – Select a value to run the report for a specific subType of work request. The subType drop-down menu only appears after a type is selected. You are not required to select a subType.
  • Schedule Status – Select a value to run the report for Active or Inactive schedules.
  • Assigned To – Select a value to run the report for schedules that are assigned to a particular user.

Report Output

The generated report contains one row for each property or space location. The results include:

  • Property – the property where the work is done
  • Location – one or more columns indicating the Tower/Wing, Floor, Space, and SubSpace within the property where the work was done.
  • JAN – DEC – one column for each month of the year, containing a set of scheduled work orders for the month; for each scheduled work order, the following information is displayed:
  • Name – a name identifying the work order; either the Procedure Name if a procedure is associated with the schedule or the Statement of Work if no procedure is associated
  • Work Order Number – the ID number associated with the scheduled work order
  • Closing Comments – if the work order is closed, the closing comments

ClosedScheduled Asset PM Calendar

The Scheduled Asset PM Calendar report displays the assets and procedures scheduled on a daily basis in a Calendar format, one month at a time.

Report Criteria

  • Region – Select a value to run the report for a particular region. Selecting a region limits the property values that can be selected to the properties within the specified region.

Report Output

The generated report contains one page for each month, displaying all of the scheduled preventative maintenance. Clicking the Prev or Next links in the month header at the top of the page displays the previous or next month. Clicking an entry in the calendar opens the Request Details page for the work order.

ClosedScheduled Tasks By Month

The Scheduled Tasks By Month report lists all scheduled tasks or procedures and lists their estimated and actual labor hours for each month. The report is broken down by space.

Report Output

The generated report contains one section for each for space, and one row for each task or procedure. Each space is separated by a bright yellow header row containing the name of the space and any asset. For each task or procedure, the following information is displayed:

  • Procedure – the name of the procedure associated with the task
  • Property – the property where the work is done
  • Location – one or more columns indicating the Tower/Wing, Floor, Space, and SubSpace within the property where the work was done.
  • Frequency – the frequency of the task (for example weekly, monthly, annually)
  • Jan - Feb – one column for each month of the year, containing the estimated number of labor hours and the actual number of labor hours

ClosedScheduled Tasks Listing

The Scheduled Tasks Listing report provides detailed information about all tasks scheduled in the specified time frame. This report lists information for task-based schedules only.

  • To Date – Select this check box to limit the report results to only those tasks whose scheduled date is today or earlier.

Report Output

The generated report contains one row for each scheduled task. The results include:

  • Date – the date on which the task will take place
  • Property – the property where the work is done
  • Location – one or more columns indicating the Tower/Wing, Floor, Space, and SubSpace within the property where the work was done.
  • Asset – the name of the asset the work is performed on
  • Asset Room – the name of the room or area where the asset is located
  • ID – the ID of the work order the task is associated with
  • Task No – the number assigned to the task when the schedule was created
  • Procedure – the name of the procedure associated with the task
  • Room/Cube – the room or cube where the work is done
  • Comment – any comment entered when the task was created
  • Frequency – the frequency of the task (for example weekly, monthly, annually)
  • Completed – Yes if the task has been completed
  • Completion Code – Any Completion code specified by the user performing the task
  • Est Hours – the estimated number of hours the task should take
  • Act Hours – the actual number of hours the task took
  • Date Scanned – if barcode scanners are in use, the date and time the asset was scanned

ClosedSchedule Cumulative Report

The Schedule Cumulative Report provides information about which assets have been scanned (using a bar code scanner) in the course of performing scheduled maintenance tasks in the specified time frame. This report lists information for task-based schedules only and is often used in situations where a large number of assets are evaluated, maintained, and scanned such as in data centers.

Report Output

The generated report contains one row for scheduled task-based work order that has assets associated with it. The results include:

  • Date – the date on which the task will take place
  • Type – the type of work to be done
  • SubType – a further definition of the type of the work to be done
  • Asset Class – the asset class the associated assets belong to
  • Total # of Assets – the total number of assets associated with all tasks on this work order
  • Scanned – the total number of assets that were scanned
  • Not Scanned – the total number of assets that were not scanned

ClosedExport Schedules

The Export Schedules report extracts base schedules and all overrides outputting the results to an excel spreadsheet.

Since this report is intended to be used for converting schedules to assist in transitioning existing databases to new environments, it is usually disabled in most installations.

If you need to migrate schedules to a new environment, contact support or your product manager for assistance.
